Timeline - Working with the person's records

Comm.care offers a single view of a Client with its easy-to-use Timeline feature making it a leading NDIS client management software. This is where all Documents, Progress Notes, and other items are stored in chronological order. Each item can be flagged and commented on to garner attention, and the Timeline can be searched through and filtered.

Comm.care not only helps you get rid of paperwork but also saves you a lot of time when you have to find something. Using the filter on the right sidebar, you can search for document title and text, as well as document type or specific Roadmap (service). You can download the document as PDF file by clicking on each  PDF icon next to the title of the document, or click the button Download PDFs to download all files with just one click.

How do I add documents?

Documents are added in your Client’s Circle, through their Timeline. Select the ‘ + Add new document’ button in the top right corner, and select which type of Document you would like to add (see Types of Documents in a Circle). You can click on document type to quickly create a new document with basic information, or you can create a document template with pre-filled text and more customised fields (see more instruction about Document Template here).

Once you have selected the document type, the document form will appear. The default form allows you to fill in Document Title, Document Text in Rich text format, and upload attachments. You can upload up to 6 attachments including image, PDF, Word, Excel files. At the bottom right, you can add a small flag to signal if the item signifies good or bad progress for the Client – a red flag is obviously bad, while a green flag is good.

What privacy rights apply to Documents?

There are three classes of privacy that can be assigned to Documents - default, public and private. If set to default, only users with read permission can read it; read and update access is required to update the Document; and to create, all three permissions are required. Check out this document to ensure correct staff access to circles. If public, read access is granted to all users automatically, irrespective of whether or not they have read access. To update it, users need update permission as well as update and create permission to create (no read access is required due to the public nature of the Document). For private Documents, only the author can read and update them. However, to create a private Document, the user must have all three permissions enabled. 

Edit and delete Documents

From the Circle's timeline, you can click on the title of a document to view detail, see change history or comment on it. When you click on the edit button, you can update the content, or click the Delete button on the bottom right to delete it from Circle's timeline.

In this way, Comm.care can record all details and updates for a Client, viewed in a single tab, whilst maintaining the privacy of users within your Organisation.
